Travel Program Policies & Legal Documents

Cultural Immersion Trip — Mexico City, Mexico | November 6–10, 2026

Welcome! We're excited you're considering joining us for this unforgettable cultural immersion experience. Before registering, please review the information below so you know what to expect.

What You're Agreeing To

Registration for the Austin Spanish Academy Cultural Immersion Travel Program requires the electronic signature of two legal documents. These documents protect both you and Austin Spanish Academy, and are standard practice for international travel programs. You will receive both documents as a single e-signature package after submitting your registration.

No registration is complete until both documents are signed and payment is received.

The Two Documents

Document A: Travel Program Agreement and Waiver

This is the master agreement covering all legal terms for your participation. It includes:

  • Program Terms & Conditions — pricing, payment schedule, cancellation and refund policy, itinerary modification rights, code of conduct, force majeure provisions, and dispute resolution
  • Liability Waiver and Release — assumption of risk (including destination-specific risks for Mexico City such as high altitude, air quality, food and water safety, and seismic activity), release of liability, indemnification, and emergency medical authorization. This section requires your initials on each subsection to confirm you've read and understood it.
  • Travel Insurance Requirement — documents ASA's requirement that all participants carry international travel medical insurance ($100,000 minimum) and emergency medical evacuation insurance ($250,000 minimum). Proof of coverage is due by October 7, 2026.
  • Photo and Media Release — grants ASA permission to use photographs and video from the trip for marketing and promotional purposes, with an option to limit use if you prefer not to appear in public-facing materials.

Document B: Medical Information and Emergency Consent Form

Collects your health history, current medications, allergies, dietary restrictions, emergency contacts (two required), health insurance information, and a physical fitness attestation. This form also includes an acknowledgment of health risks specific to Mexico City. All medical information is kept confidential by ASA staff.

Travel Requirements

  • Passport: Must be valid through at least May 10, 2027 (six months beyond the return date)
  • Tourist Permit: A Forma Migratoria Múltiple (FMM) tourist permit is required for entry into Mexico and will be provided at the port of entry
  • Travel Insurance: International medical and evacuation coverage is mandatory (see Document A for minimum requirements)
  • Age Requirement: Participants must be 21 years of age or older at the time of departure
  • Group Size: Limited enrollment — register early to secure your spot

Health Considerations

Mexico City sits at an elevation of approximately 7,382 feet (2,250 meters) above sea level. Participants should be aware of altitude-related health considerations and consult their physician before traveling, particularly those with respiratory or cardiovascular conditions. The program involves significant walking (up to 5–8 miles per day) over uneven terrain and stairs.

We strongly recommend consulting a travel medicine specialist regarding recommended vaccinations and preventive measures before departure.
